To design an official school stamp, include the school’s full registered name, its postal address (P.O. Box, postal code and town), and the office or title it represents, such as “Principal” or “Bursar”, laid out clearly in one shape and one ink colour. Keep the wording short enough to read at real size, check it on an actual document, and use the same design everywhere the school issues paper.

Quick answer: An official school stamp usually shows the school name around the edge, the office in the centre, and the P.O. Box and town, often with a space for the date. Choose round, oval or boxed, keep to one ink colour, and test it at real size on a receipt, a report card and a letter before you make it official.

What should an official school stamp include?

Most official school stamps in Kenya carry some or all of:

  • The full name of the school, spelled exactly as it appears on the school’s registration and letterhead.
  • The office: Principal, Head Teacher, Bursar, Deputy Principal, or simply “Official”.
  • The postal address: P.O. Box number, postal code and town.
  • A date, either printed by a date stamp or a space for writing it.
  • Sometimes a phone number or email, though these change more often than a stamp does, so many schools leave them out.

Keep it to what someone checking a document actually needs: who issued it, which office, and when.

Types of school stamps

Official round stamp

The most common. The school name runs around the outer ring, the office sits in the middle, and the address runs along the lower ring. It looks formal and fits neatly beside a signature.

Round stamp with the date

The same layout with a date band across the middle. Useful for the bursar’s office and for admission letters, where the date matters.

Official oval

Gives more room for a long school name without shrinking the text. A good choice for schools whose names are long, for example because they include a junior school section.

Boxed date stamp

A rectangle with the school name and a date line. Often used for “received” marks on incoming letters and forms.

Plain address block

A simple rectangle with the name and address. Handy on envelopes and delivery notes.

Certified true copy stamp

Used when the school certifies a copy of a document, such as a leaving certificate, as matching the original.

Many schools keep two or three: an official round stamp for the principal, a date stamp for the office, and a certified copy stamp. Between them they cover the documents a school issues every term: fee receipts, report cards, admission letters, leaving certificates and official letters.

Primary school stamp vs secondary school stamp

The layout is the same. What changes is the office title: primary and junior schools usually say “Head Teacher” where secondary schools say “Principal”. Make sure the name matches the school’s current registered name, especially if the school has added a junior school or changed its name.

Size, wording and ink colour

  • Size: large enough to read without a magnifying glass. Text that looks fine on a screen can blur when printed small. Always check at real size.
  • Wording: shorten where you can. “P.O. Box 123-00100, Nairobi” reads better than the full postal line written out in words.
  • Font: plain capital letters read best on a ring. Decorative fonts blur.
  • Ink colour: blue, purple, red and black are all common. Pick one and use it everywhere, so a document with a different colour stands out as suspect.

Common mistakes when designing a school stamp

  • A misspelt school name. It sounds obvious, and it happens. Have two people check it.
  • Too much text. A motto, a phone number, an email and a slogan on one ring makes it unreadable.
  • Different stamps in different offices. One stamp for the bursar and a slightly different one for the principal confuses parents and anyone checking documents.
  • Using a photograph of the stamp on printed documents. A phone picture of a rubber stamp on a receipt looks skewed and grey, and it is the part of the page that is supposed to say the document is genuine.

How to order a school rubber stamp

  1. Agree the final wording in writing. The head teacher or principal signs off the exact text, line by line, before anyone goes to a stamp maker.
  2. Ask for a proof. A reputable stamp maker will show you the layout before cutting it. Check the spelling of the school name, the P.O. Box, the postal code and the town letter by letter.
  3. Check the size on paper. Ask to see the proof printed at real size, beside a signature, on the kind of document it will go on.
  4. Choose the type. Self inking stamps are quicker for an office that stamps all day, such as the bursar’s; a traditional stamp with a separate ink pad suits occasional use.
  5. Record it. Note the date, the maker and who received the new stamp in the school’s stamp register.

If you design the stamp first, hand the stamp maker the finished artwork so the rubber stamp matches what appears on your printed documents.

Keeping your stamp official and secure

  • Keep physical stamps locked away when not in use, and keep a simple stamp register: which stamps exist, who holds each one, and when they changed hands.
  • Stamp only documents that are complete and signed. A stamp on a blank page is an invitation to misuse.
  • Destroy old stamps when you change the design, so they cannot be used on documents later.
  • For documents the school prints from its system, a cleanly drawn digital stamp is more consistent than a scanned one. Parents keep fee receipts as proof of payment, so a clear stamp on every receipt matters; see how to pay school fees using M-Pesa for what a parent should keep. The same goes for the stamp on a report card, alongside the teacher’s report card comments.

How Enaton helps

Enaton’s digital school stamp add-on lets a school design its official stamp inside the system. Start from six real layouts (official round, round with date, oval, boxed date, address block and certified true copy) with your school’s name, box number and town already filled in, adjust the wording, ink colour and size, and check it at real size on a fee receipt, a report card and a letter before it goes live. From then on it appears, sharp at any size, on every document Enaton produces, and you can download the artwork for a stamp maker to cut a matching rubber stamp. Like every Enaton add-on it comes straight from Enaton, on the same platform as the rest of your school. The stamp appears on fee receipts and report cards alike, including the receipts parents see in their school parent portal, and a group of schools keeps one consistent mark across every school. FAQ

What should be written on an official school stamp?

The full name of the school, the office (such as Principal or Bursar), and the postal address with P.O. Box, postal code and town. Many stamps also have a date band.

What shape should a school stamp be?

Round is the most common for official use. Oval suits long school names, and a boxed date stamp suits “received” marks.

What colour ink should a school stamp use?

Any of the common colours, such as blue, purple, red or black. What matters is using one colour consistently across the school.

Where can I get a school stamp made in Kenya?

Rubber stamp makers in most towns cut school stamps. Take them the exact wording signed off by the head, ask for a proof before they cut, and check every letter. If your school designs its stamp in its own system first, give the maker the downloaded artwork.

Who should keep the school stamp?

The office it belongs to: the principal or head teacher keeps the official stamp, and the bursar keeps the bursar’s stamp. Keep stamps locked away and record who holds each one.

Can a school stamp be digital?

Yes. Documents the school prints from its own system can carry a digital stamp, which looks the same every time. Many schools also keep a physical rubber stamp for documents signed by hand.
