Admissions

School admissions management with admission numbers that never clash

Numbers from a register book get repeated or skipped. Each one is issued in your own series and checked, so it is never used twice.

Enaton admits each learner with an admission number issued in order by your own series, and checked so it is never used twice. Every learner keeps a status, from active to completed, exited or transferred, and the admissions lists export whenever the office needs them.

What it does

Enaton admits each learner with an admission number issued in order by your own series, and checked so it is never used twice. Every learner keeps a status, from active to completed, exited or transferred, and the admissions lists export whenever the office needs them.

Admission numbers

  • Your own series, with your school’s three letter prefix
  • Numbers issued in order, with the year, such as ABC-0001-2026
  • Checked against every existing learner, so a number is never repeated
Show all 4
  • One active series per school, so a new clerk cannot start another

Learner status

  • Active, completed, exited or transferred
  • A learner who leaves keeps their record and history
  • Fee category and fee group on every learner, so billing starts right

Admissions lists

  • Learner list: name, admission number, gender, class, stream, fee category, status, date of birth and admission date
  • Learner and parent list: each parent’s name, phone, relationship and whether they can receive SMS
  • Filter by class, stream, gender, status, fee category or fee group

  • Counts of boys and girls, learners with a parent linked, and parents who can receive SMS
  • Export any list when the office, the board or the ministry asks

Who it helps

How it works

  1. Set up your admission number series with your own prefix

  2. Admit the learner and get the next number, checked for repeats

  3. Set the fee category and fee group so billing starts right

  4. Change status to completed, exited or transferred when they leave

  5. Export the admissions lists when the office asks

The admission number is where the trouble starts

In most schools admission numbers come from a register book or somebody’s memory. Two learners end up with the same number, a number is skipped, or a new clerk starts a fresh sequence. Every receipt, report form and list that uses that number inherits the mistake.

Then the learner list itself drifts. Learners who left are still on it, transfers are deleted rather than recorded, and the office cannot quickly produce a list of who is in which class with which parent to contact.

How Enaton handles it

Your school sets up its admission number series once, with its own three letter prefix. Each new learner gets the next number, with the year, and the system checks it is not already taken.

A learner who leaves is not deleted. Their status changes to completed, exited or transferred, so the history stays and the active list stays true.

Questions we get about this

How are admission numbers created?

From your school’s own series, with a three letter prefix you choose. Each new learner gets the next number with the year, and the system checks it is not already in use.

What happens when a learner leaves?

Their status changes to completed, exited or transferred. The record and its history stay, and the learner leaves the active list.

Can we see which parents cannot receive SMS?

Yes. The learner and parent list shows each parent’s phone and whether they can receive SMS, so gaps are fixed before a message goes out.

Can we export our learner list?

Yes, filtered by class, stream, gender, status or fee category, whenever you need it.
